Board meetings are the place where crucial decisions are taken. It’s not unusual for a company to establish its entire management structure by the vote of the board meeting. There’s much riding on the quality of your board’s minutes, so it’s important to be aware of how to conduct these minutes as effectively and accurately as you can.

An outline or template that is based on the agenda before time makes it easier for the person taking minutes to keep up with the conversation and record relevant details. It’s also helpful to keep a list of attendees so that each can be checked off as they arrive. This will cut down on time and make it simpler to prepare the board minutes at the end of the meeting.

Be careful not to get too personal. Minutes should be neutral, and it’s best to avoid personal debates, critiques or disagreements, political views and idle chats out of them. Do not discuss the personal lives of members or any personal stories which aren’t relevant to business.

Lastly, any voted items should be clearly documented. This would include who initiated and voted for the motion, the exact wording of the motion, as well as whether it was passed or not.
